The missed call is the most expensive thing in your business

Lead Management·4 min read

Think about the last time you needed a plumber. Or a dentist with an opening this week. Or someone to look at a roof before the rain.

You did not research. You did not compare portfolios. You pulled up three numbers and started calling. And you booked whoever picked up.

That is how your customers find you too. Which means the business you lose is rarely lost to someone better. It is lost to someone available.

You cannot just answer the phone

The obvious advice is useless. You are on a roof. You are with a patient. You are showing a house, and stopping to take a call in front of a buyer looks worse than missing it.

Nobody misses calls because they do not care. They miss calls because they are doing the work the calls are asking for. The fix is not discipline. It is making a missed call do something on its own.

What a missed call should do

When a call goes unanswered, a text should go out within seconds. Not an hour later when you get back to the truck. Seconds, while they still have your number on screen and before they dial the next business on the list.

Something like this does the job:

Hi, this is Alexis at Vega. Sorry we missed you, we are out on a job right now. What can we help with? Reply here and we will get straight back to you.

Three things are happening in those two sentences. You are acknowledging the call so they know a human exists. You are explaining why you did not pick up in a way that signals you are busy doing real work. And you are moving the conversation from a channel you cannot answer to one you can.

Why the channel matters more than the speed

A phone call demands both people at once. A text does not. You can answer a text between jobs, at a light, waiting for a quote to print. The customer can answer while they are in a meeting.

That is the real win. Not that you replied fast, though you did. It is that the conversation is now happening somewhere you can actually keep up with.

A missed call is a dead end. A missed call that becomes a text thread is a lead.

Where it goes wrong

  • The text sounds like a robot. If it reads like an automated system, people ignore it. Use your own name and plain words.
  • Nobody is watching the replies. Automating the first message and ignoring the second is worse than doing nothing. Someone has to own the inbox.
  • It goes to a number that cannot receive texts. A landline without texting enabled sends a message into a void. Check this before you rely on it.
  • There is no record. If the thread lives on one person's personal phone, it is invisible to everyone else and gone when they leave.

What to actually measure

Do not measure texts sent. Measure what happens after. For a month, track how many missed calls got a reply back, and how many of those turned into a booked job.

Most businesses find the reply rate is far higher than they expected, because the people calling genuinely need the thing they are calling about. They were never shopping around. They just needed someone to respond.
